To ensure your booking is confirmed and all travel arrangements can be secured in a timely manner, payment must be made according to the applicable schedule below. Our cancellation policy varies depending on the type of tour, number of travelers, and the time remaining before departure. Please review the following terms carefully before confirming your reservation. A. Payment For Private Package Tours, bookings made 45 days or more prior to the tour departure date require a 50% deposit of the total tour fare to guarantee the reservation. The deposit may be paid by bank transfer or online payment. The remaining balance must be settled by bank transfer or online payment no later than 30 working days prior to departure. For bookings made less than 30 days prior to departure, the full tour fare must be paid at the time of booking. For Private One-day Tours and Joined-group Tours, full payment is required upon booking confirmation. Payment should be made by online payment or bank transfer within 24 hours of confirmation. If additional time is required, clients should contact Vietspace Travel by email in advance; however, payment must be received no later than 72 hours after booking confirmation in order to guarantee the reservation. To facilitate timely verification of payment, please send the remittance advice, bank transfer receipt, or payment confirmation to Vietspace Travel by email once the payment has been made. B. Cancellation of Ground Services All reservations will be automatically cancelled if the required deposit or payment is not received by the applicable payment deadline. Failure to comply with the stated payment terms will be considered an unconditional release of the booking reservation. In the event of an incorrect beneficiary name, insufficient payment, or any other payment discrepancy, the client shall be responsible for correcting the payment and covering any additional charges or surcharges incurred as a result. C. Cancellation Conditions for Ground Services For Private Package Tours for Individual Travelers (1–7 persons), cancellations made more than 45 days prior to departure are free of charge, except for issued air tickets. Cancellations made 44–31 days prior to departure will incur a charge of 20% of the tour fare; 30–21 days prior will incur 30%; 20–8 days prior will incur 60%; and cancellations made 7 days or less prior to departure, including no-shows, will incur 100% of the tour fare. For Private Package Tours for Groups (8 passengers or more), cancellations made more than 50 days prior to departure are free of charge, except for issued air tickets. Cancellations made 49–40 days prior to departure will incur a charge of 20% of the tour fare; 39–31 days prior will incur 30%; 30–21 days prior will incur 60%; and cancellations made 20 days or less prior to departure, including no-shows, will incur 100% of the tour fare. For Private One-day Tours, cancellations made more than 15 days prior to departure are free of charge. Cancellations made 15–8 days prior to departure will incur a charge of 30% of the tour fare; 7–4 days prior will incur 50%; and cancellations made 3 days or less prior to the tour date, including no-shows, will incur 100% of the tour fare. For Joined-group Tours, cancellations made more than 75 days prior to departure are free of charge. Cancellations made 74–61 days prior to departure will incur a charge of 30% of the tour fare; 60–31 days prior will incur 50%; and cancellations made 30 days or less prior to departure, including no-shows, will incur 100% of the tour fare. For cancellations that qualify for a refund, any amount transferred back to the client's account will be subject to deduction of applicable banking or transaction fees incurred during the refund process. The above cancellation conditions apply to ground services only and do not apply to air tickets. Cancellation or amendment of issued air tickets is subject to the applicable policies and conditions of the respective airline. All cancellation requests must be submitted in writing by email to Vietspace Travel to avoid any misunderstanding and will only become effective once they have been acknowledged and confirmed by Vietspace Travel. In the event of force majeure or exceptional circumstances, such as serious illness supported by a valid medical report, natural disasters, or other circumstances beyond the client's reasonable control, Vietspace Travel may, at its discretion, consider waiving the applicable standard cancellation charges, provided that appropriate supporting documentation is submitted. In such cases, an administration fee of USD 200 per Private Package Tour or Joined-group Tour booking and USD 50 per One-day Tour booking will apply. This administration fee does not include any cancellation charges imposed by airlines, hotels, transportation providers, car rental companies, or other local suppliers, where applicable. If Vietspace Travel is required to cancel a tour due to objective reasons or circumstances beyond our control, a refund will be provided for services that have not been delivered. No additional compensation will be payable beyond the total amount received from the client. We strongly recommend that all clients purchase comprehensive travel insurance, including coverage appropriate for trip cancellation, medical emergencies, travel disruption, and other unforeseen circumstances, before traveling to Vietnam or other destinations where our services are provided. D. Flight Cancellation Issued air tickets and flight arrangements are subject to the terms, conditions, and cancellation policies of the respective airline. In most cases, airfares are non-refundable and non-transferable, although specific conditions may vary depending on the fare type and airline. Applicable airline cancellation, amendment, rebooking, or refund fees may be charged in part or in full according to the fare conditions. Our Travel Consultant will assist clients with the applicable procedures and options to the extent permitted under the airline's policies and these terms and conditions.
